Position Description

Serco-NA is actively seeking a motivated Mid-Level Administrative Assistant to support Serco-NA within the Continental United States and Worldwide. In this role, you will work with our dynamic team by performing a variety of routine clerical and organizational tasks.

 

The Mid-Level Administrative Assistant duties revolve around managing and distributing information within the warehouse and office.

 

In this role, you will:

  • Accompany facility inspections and provide the facility manager with any noted damage, repairs, or maintenance needed.
  • Prepare MPRs for items or services to be purchased by the facility while maintaining shop office equipment and office supplies
  • Assist employees with proper time sheet entries
  • Track and verify accurate time entries to different projects.
  • Monitor employee certification updates and monitor training due dates.

 

Included additional assignments:

 

Project setup

  • Receive and log fabrication requests
  • Receive, log and distribute controlled documents
  • Collect, log and destroy controlled documents when no longer required
  • Assist in building timelines (Office white board, Excel, MS Project)
  • Monitor approaching deadlines and crossover schedules
  • Assist building project trackers (Excel. Print reading is a plus)
  • Generate travelers
  • Generate corresponding NDT documents
  • Collect, scan and file fabrication documents
  • Post daily production updates

Purchasing

  • Distribute RFQ from venders to buyers
  • Generate MPR documents
  • Monitor purchases, deliveries, and shortages

Consumables

  • Monitor and maintain stock quantities
  • Generate MPRs to replenish stock
  • Identify, label and organize stock
  • Log lot numbers and SDS documents

Credit Card

  • Track and log purchases
  • Receive, scan and file receipts

Shipping

  • Document item inventories
  • Generate 1149 and other documentation
  • Co-ordinate items to ship, destinations and schedules with shipping department
  • Track shipping to delivery
  • Generate item labels

 

Qualifications

To be successful in this role, you will:

  • Successfully undergo a Background Investigation, Drug Screen, and obtain access to shipyard, NAVSTA & DBIDS.
  • This position supports a U.S. Government Contract whose terms require Serco to staff it only with U.S. Citizens.
  • 2 Years of experience in the Administrative Role with a High School Diploma or Equivalent.
  • Knowledge in troubleshooting technical problems and taking corrective action.
  • Must be able to successfully review employee schedules and time cards.
  • Participates in long-range planning, analysis, and program design, project estimating, logistical support, inventory control and drawing review along with other duties as assigned.
